Information about Appointments
We are very happy you decided to have Orthodontic Care with us, and we look forward to providing you with the highest standard of care. We do everything possible to guarantee the success of your care. To ensure success, you need to be aware of the following that require your cooperation
Attendance
Braces must be monitored and regularly adjusted. You must attend all your appointments because missing appointments leads to a longer time in braces, and the risk of dental disease.
Our goals are to see you on time, and to remain on time throughout the day for all our clients. We ask that you arrive 15 minutes before your scheduled appointment.
Sometimes a certain procedure, or a client with an emergency, may cause us to operate behind schedule. When this happens we always do our best to ensure that you are seen as soon as possible
Scheduling Appointments
Each procedure we do is scheduled at a specific time of the day. This helps to ensure minimal delays to you and that your care proceeds smoothly.
We do our best to accommodate work or school obligations however it is not possible for us to see everyone outside of work and school hours. Sometimes your appointments will not be at a convenient time, especially for certain important procedures.
Once your braces are on you only see us every five to six weeks. This means you won’t take as much time off school or work as you think.
Your care will be successful if you cooperate with us when making appointments, and we look forward to your support and understanding.
Late Arrival for Appointment
We understand that unexpected incidents can happen, which may cause you to be late for your appointment.
If you are running late please call us and we will do our best to accommodate you.
However, each procedure requires a certain amount of time. Late arrival prevents us from performing your procedure properly, and we have a commitment to our other clients to remain on time.
We may not be able to see you if you are 15 minutes late for your appointment and we will reschedule your appointment.
Cancellation of an Appointment
As a courtesy, we ask you to call and cancel if you cannot attend your appointment.
It is best to give us at least a few days’ notice.
Letting us know in advance gives us a chance to rebook your appointment and it allows us to utilize our valuable time for other clients.
You MUST give us a minimum of 24 hours notice if you wish to cancel.
We do charge a fee when a scheduled appointment was not cancelled with a minimum of 24 hours’ notice or was not attended.
Emergencies
If you are having discomfort or problems with your braces or retainers, for example you have damaged or lost them, please call us immediately so that we can arrange to see you for an Emergency Visit.
Calling us is important so that we can assess the situation and take care of you.
- Teeth shift when braces are damaged or lost
- Each breakage can add several months to the length of time you will be wearing braces
- Damaged braces may injure the teeth and gums
- When retainers are damaged or lost, previously straight teeth may shift and braces may have to be used again
When we ask you to attend an Emergency Visit it may be at an inconvenient time and we appreciate your co-operation
Insurance Forms
We are more than happy to fill out your insurance forms and we thank you for your understanding and cooperation, when it comes to your receipts and forms.
We kindly suggest that you bring a new form at each visit so that you can submit your receipt for each payment with a separate form.
We advise that you promptly submit your forms before your claims expire
We will not be able to issue new receipts in instances where your claims have expired, or if you have misplaced your receipts.
